Privacy and security

Is member content safe?

Yes. Answer Buddy follows iMIS content security for the person asking. The public sees public results and answers. A signed-in member sees what their membership allows. Nobody sees content in search that they could not open on the website.

Does the assistant make things up?

It is designed to answer from your organisation's own content, and every answer lists the pages it used. If it does not have enough information to support an answer, it says "No direct answer" and shows the closest sources instead.

That question also appears in your team's worklist, so you can see the gap and decide whether the website needs new content.

What is recorded?

Each search's words, the results shown, what was clicked, and whether the searcher was signed in. This is what the reports are built from. Your staff see it in the admin site.

Searches for a person's name

Searches that look like a person's name are grouped in the reports, and their words are not shown.

Where is our data held?

In Australia. Your content, the search index and the search records are all held there.

Which AI writes the answers?

Google's Gemini 3.5. It is given only the passages from your own content that match the question, and it writes the answer from those.

Voice

Voice search uses the browser's own speech service, from Google, Microsoft or Apple, to turn speech into text. Answer Buddy receives only the text.

Sample member accounts

Passwords are stored encrypted and never shown again. A member's personal pages, such as their profile, invoices and CPD records, are never read.
